Purpose and Objectives

This policy is designed to communicate how we manage personal information and complements our procedures for complaint resolution and breach notifications.

1. Patient Consent

  • By registering your child, you provide consent for our doctors, allied health, and practice staff to access and use personal information to provide optimal healthcare.
  • Only staff who need to see your information will have access to it.
  • AI Transcription Consent: We utilize electronic medical transcribers (such as Heidi) to assist our clinicians in documenting consultations accurately. These AI tools process audio into clinical notes. By consenting to this policy, you acknowledge and agree to the use of these tools, which are managed in compliance with Australian Privacy Principles to ensure data remains secure.

2. Why We Collect Information

  • Our main purpose is to manage your child's health and provide healthcare services.
  • Information is also used for directly related business activities such as financial claims, payments, practice audits, accreditation, and staff training.

3. Information Collection

We collect the following information:
  • Names, date of birth, addresses, and contact details.
  • Medical history, medications, allergies, adverse events, immunisations, and risk factors.
  • Medicare numbers, healthcare identifiers, and health fund details.

4. How We Collect Information

  • Directly: During registration, consultations, via our website, email, SMS, or telephone.
  • Third Parties: From other family members, healthcare providers (specialists, hospitals, pathology), out-of-home care providers, health funds, or Medicare.

5. Sharing Information

We may share personal information in the following circumstances:
  • With third parties for business purposes, such as IT providers or accreditation agencies.
  • With other healthcare, allied health, or NDIS providers involved in your child's care.
  • When required or authorized by law (e.g., court subpoenas or mandatory child protection notifications).
  • To prevent a serious threat to life, health, or safety.
  • We do not share information outside Australia without consent, nor do we use it for direct marketing without your express permission.

6. Storage and Security

  • Personal information is stored securely on our electronic medical record system, Gentu (Genie Solutions).
  • All records are stored securely in Australia, and access is restricted and password-controlled.
  • AI-transcribed data is processed and stored in accordance with strict security protocols to maintain confidentiality.

7. Access and Correction

  • You have the right to request access to, or correction of, personal information.
  • Requests must be in writing to admin@hunterchildrensclinics.com.au.
  • We will respond within 30 days; printing documentation may incur a $20 fee.

8. Privacy Complaints and Feedback

  • Express privacy concerns in writing to admin@hunterchildrensclinics.com.au.
  • We will acknowledge your complaint within two business days.
  • We will attempt to resolve the issue within 30 days.
